How to organize a golf tournament in 7 steps

The best thing about golf tournaments is that they are open to all ages. They allow people to get to know each other, raise money and have a lot of fun. Are you unsure how to host a golf tournament as a fundraiser, charity or social event? This step-by-step guide will help you organize a golf tournament for a charity, fundraising event or social outing.

It is more difficult to plan a tournament because of the complexity of the activities and schedules than other events. Even experienced event professionals will find it difficult to organize a golf tournament because of issues such as player safety and health, weather conditions and maintenance.

Be aware that each tournament, every golf course, and every golfer may be entering is unique, so there’s no one size fits all approach. You can get it right away by reading this post’s expert tips and detailed instructions.

In 7 steps, you can organize a tournament of golf.

Big picture thinking

As you plan, be sure to ask each of these questions.

Question 1: Who is this event?

Before organizing a golf tournament, think about the people attending and what format they would most enjoy. If your tournament is for children’s charities, it may be a good idea to limit the number of holes. You can also separate the children and adults by offering mini golf.

Question 2 – Why are you organizing this tournament?

After you have a general idea about your audience, it’s time to define your event goals. Many tournaments are focused on a financial goal. Measuring success based on the number of participants or player satisfaction is also possible. This could be used as a test run for future iterations. The “Why” is crucial, no matter what.

Question 3 – How much does it cost?

What will it cost to host an event? How much will people pay to attend it? You will need to list all expenses and create a budget. Ask for a quote from the top golf courses, caterers, and event staffing agencies. Next, determine what additional expenses you will need to pay. You may be offered banquet tables or other large items by the venue, but you will need to pay for decor and signage.

It’s tempting to guess how many people will attend a ticket price, but it is not always feasible. Instead, figure out how much you would need to charge for an approximate number of attendees (i.e. 0-25, 25-50, etc.) to make a profit after expenses. You may also offer additional opportunities for donations by offering raffles, silent auctions and mulligan purchases.

For unexpected last-minute expenses, you should include some of your unallocated funds.

Tools that simplify the planning process, even for golf events

Select your venue

Whatever format you choose, having a team will make all the difference. The process will be easier if you choose the right team of golf course professionals,” states Kinsey Kandray, event planner and marketing expert. She spoke with Social Tables about the importance of details like ensuring that your chosen course uses email to communicate (you’d be amazed at how many don’t).
